Terms and Conditions – Adventrip Uganda

Effective Date: September 7, 2025

By completing the booking form, you confirm that you have read, understood, and agree to these Terms and Conditions. You accept them on your own behalf and on behalf of all persons listed on the booking form.

1. Pricing and Inclusions

The price of your trip includes:

Private ground transport in a 4×4 vehicle, including the car and fuel.
The services of a professional Safari Guide.
Entry costs to all national parks mentioned in the itinerary.
All activities specified in the itinerary (e.g., boat cruises, game drives).
All meals and accommodation as detailed in the itinerary. (This applies unless a different arrangement has been explicitly agreed upon in writing.)

The price of your trip does NOT include:

International flights (unless a special agreement is in place).
Personal travel and medical insurance.
Visa fees for entry into Uganda or other countries.
Beverages (alcoholic and non-alcoholic).
Items of a personal nature (e.g., souvenirs, laundry).
Tips and gratuities for guides, drivers, and hotel staff.

2. Bookings, Payments, and Adjustments

a. Payment Schedule:

A down payment is required at the time of booking to secure your reservation. This deposit will always include the full cost of gorilla and chimpanzee permits, as these must be secured immediately.
The full balance of the trip cost must be paid at the latest one month (30 days) before the safari’s start date, unless other terms have been agreed upon.
Bookings made within one month of the departure date must be paid in full at the time of booking.
Upon receipt of the initial down payment, Adventrip Uganda Ltd will proceed with securing all necessary bookings and permits as per the itinerary.

b. Means of Payment:

We accept payments via bank transfer or credit card to our company account in Uganda.
All bank transfer fees and credit card processing fees are the responsibility of the client.
We do not accept payments in cash.

c. Adjustments After Booking:

If you wish to make changes to your itinerary after your booking is confirmed, we will do our best to accommodate them, subject to availability.
Please note that the dates for gorilla and chimpanzee trekking permits cannot be adjusted after they have been booked and secured.

d. Itinerary Changes by Adventrip Uganda:

In the event of unforeseen circumstances (such as road closures, adverse weather, security conditions, or issues with accommodation), Adventrip Uganda Ltd reserves the right to make necessary adjustments to the itinerary. We will inform you of any such changes as soon as possible.

3. Cancellations

a. Cancellation by the Client: Cancellations must be made in writing via email. The following charges will apply, calculated from the date we receive the notification:

More than 90 days before safari start date: Full refund.
59 to 30 days before safari start date: 25% of the total booking cost will be charged.
Less than 30 days before safari start date: 100% of the total booking cost will be charged (no refund).

b. Non-Refundable Items:

Gorilla permits, chimpanzee permits, and domestic flights are 100% non-refundable and are excluded from the percentage-based cancellation charges listed above.

4. During the Safari

a. Wildlife Sightings:

The animals in the national parks are wild. While our guides and park rangers are highly skilled, we cannot guarantee sightings of specific animals during game drives or trekking activities. We will, however, always strive to provide the best possible wildlife viewing experience.

b. Client Conduct:

Adventrip Uganda Ltd reserves the right to terminate the trip of any client whose behavior is deemed to cause danger, distress, or significant inconvenience to any third party, or damage to property, the environment, or local ecosystems. In such a case, no refunds will be issued, and Adventrip Uganda Ltd will not be liable for any expenses incurred by the client as a result of the termination.

c. Vehicles:

We ensure that our vehicles are in a roadworthy condition. However, due to the nature of African roads, punctures, breakdowns, or other delays can occur. These events are beyond our control, and Adventrip Uganda Ltd accepts no liability for any delays or expenses arising from them.

5. Liability

Adventrip Uganda Ltd cannot accept liability or pay compensation for unforeseen circumstances that are beyond our control (force majeure). This includes, but is not limited to: flight delays or cancellations, war or threat of war, riots, civil unrest, terrorist attacks, border closures, acts of government, strikes, theft, epidemics, road closures, natural disasters, extreme weather conditions, fire, or technical/mechanical problems with transport.

6. Insurance and Health

a. Insurance:

It is the client’s sole responsibility to ensure they have comprehensive and adequate travel insurance that covers personal injury, medical expenses, repatriation, loss or damage of property, and trip cancellation or curtailment.

b. Health:

It is the responsibility of the client to consult with a medical professional and ensure that all proper medical precautions (e.g., immunizations, malaria prophylaxis) have been taken prior to travel.

7. COVID-19 and Supplier Terms

As the travel industry moves forward from the pandemic, all bookings made from 2023 onwards are subject to the current terms and conditions of our suppliers, including the Uganda Wildlife Authority (UWA), Rwanda Development Board (RDB), hotels, lodges, and camps.

Gorilla and chimpanzee permits purchased from UWA or RDB are non-refundable. They may be rescheduled ONCE to a new date, subject to availability and supplier policies. Failure to reschedule will result in the forfeiture of the permit and its full cost.

8. Complaints

Should any issue arise during your safari, please report it immediately to your guide so that we can work to resolve it on the spot. If the matter is not resolved to your satisfaction, a formal written complaint should be sent to our office via email no later than 30 days after the completion of your safari.
